Privacy Policy

At Tokyo Camera Club Inc., we handle various forms of personal information in the course of EC site operation and blog marketing. We consider that personal information acquired from our customers and our employees through our business operation (hereinafter referred to as “personal information”) as the information asset of the utmost importance; and we acknowledge that it is our grave social responsibility to protect personal information without fail. Therefore, we strictly observe the Act on the Protection of Personal Information as well as other applicable laws and regulations, national guidelines and other standards; we take all possible measures to handle personal information properly in good faith bearing the following policy in mind.


  1. Recognizing the importance of personal information protection, all employees of Tokyo Camera Club Inc. shall acquire, utilize, and provide personal information by lawful and fair means to the extent necessary for our business purposes, and shall never use personal information for unintended purposes. Should the need arise to use personal information for other than intended purposes, we shall first obtain consent for such use.

  2. Observing laws and regulations, national guidelines and other standards relevant to the protection of personal information (hereinafter referred to as “laws and regulations”) as well as the personal information protection management system, we shall handle personal information in good faith. Furthermore, we shall make every effort to stay current with laws and regulations, and shall keep all employees and clients well-informed in order to ensure legal compliance.

  3. For the prevention of leakage, loss, or damage, and for other security control of the personal information, we shall implement technically and organizationally rational measures. Additionally, we shall conduct periodical inspections and shall take corrective measures immediately upon any occurrence of infringement, incident or accident. At the same time, we shall implement preventive measures against any vulnerability and shall provide our employees and clients thorough education on information security.

  4. Any complaints or inquiries regarding our handling of personal information or our personal information protection management system shall be processed promptly upon receipt, for which we shall establish and maintain appropriate processing system and procedures.

  5. To ensure proper use and protection of personal information, we shall conduct compliance monitoring and audit to identify any infringement, incident, accident or vulnerability, and the performance shall be reviewed by managers. Reflecting the results on security control measures and on internal rules and regulations, we shall continue to review and improve our personal information protection management system. These improvements shall be fully compliant with JISQ15001 as well as other applicable laws and regulations.

Handling of Personal Information


Inquiries and Requests Regarding Personal Information

Regarding your personal information, we accept your requests to disclose, to correct, add or delete the content, to erase, to discontinue its use, and to discontinue its provision to third parties. We respond in writing to the requests made by yourself or by your agent only.

For purpose of use of personal information, you can find the detail in “Handling of Personal Information” page of each website.

Procedures for Requests

  1. Download and fill out the Personal Information Request Form for Disclosure etc.
  2. Prepare required documents listed below.
  3. Mail the request form and necessary documents to:

Required Documents

When you are making request by yourself, please enclose the following documents:

  1. A copy of your identity verification document
    (Any one of driver’s license, passport, basic resident registration card with photograph, health insurance card or foreign resident registration card)
  2. A copy of certificate of residence
    Without submission of this copy, we must send you a registered mail to verify your address before processing your request.

When you are making request on behalf of our customer (principal) as his/her agent, please enclose the following documents:

  1. A copy of principal’s identity verification document (same as above)
    (Any one of driver’s license, passport, basic resident registration card with photograph, health insurance card or foreign resident registration card)
  2. A copy of principal’s certificate of residence
  3. A copy of agent’s identity verification document
    (Any one of driver’s license, passport, basic resident registration card with photograph, health insurance card or foreign resident registration card)
  4. A copy of agent’s authority verification document as below:
    1. If principal is a minor and you are his/her legal representative,
      A copy of your family register
    2. If principal is an adult ward and you are his/her legal representative,
      A copy of order for the commencement of guardianship
    3. If you are principal’s voluntary representative,
      A power of attorney with a copy of principal’s seal registration certificate
    4. If you are a qualified professional such as lawyer, judicial scrivener or administrative scrivener,
      A proof of qualification (registration number / official seal registration certificate etc.)

Fees

If you make personal information request more than twice for one person, we will charge you the following handling fees for third and subsequent requests:

  1. Request for notification of purpose of use: ¥1,000/request
  2. Request for disclosure: ¥1,000/request
  3. Requests other than listed above: Free of charge

Please enclose ¥1,000 postal money order for each applicable request when mailing your request form and required documents.
